DEVXA LTD (company number 10238230), trading as TallyBook (“TallyBook”, “we”, “us”), is registered in England and Wales. Our company provides source-backed AI software for drilling operations. We are the data controller for the website and early-access enquiries described in this policy. Contact us about privacy at hello@tallybook.io.
2. Information we collect
Information you give us
- Contact & early-access requests: your name, company, email address, and the contents of any message you send us.
- Operational data during a pilot: if a business customer connects TallyBook to reports, WITSML feeds, or offset databases, we process that content to provide the service. Where it contains personal data, that business customer will ordinarily be the controller and we will act as processor under the applicable pilot or data-processing agreement.
Operational data is supplied by the business customer or obtained from systems and providers that the customer instructs us to connect to. You are not legally required to submit the public contact form, but we cannot respond to an enquiry if you do not provide the fields marked as required.
Information collected automatically
- Usage & device data: IP address, browser and device information, pages viewed, and analytics events when you opt in to analytics technologies.
- Cookies and similar technologies: see our Cookie Policy. Non-essential analytics technologies run only with your consent.
3. How we use your information & legal bases
We use personal data to:
- respond to your enquiries and take steps at your request before entering a pilot agreement — legitimate interests in responding to business enquiries, or performance of a contract where applicable;
- operate, secure, and improve the site and product — legitimate interests in running and improving our business, balanced against your rights;
- use analytics technologies and measure website use — consent, which you can withdraw at any time through Cookie Settings;
- comply with legal obligations — legal obligation.
4. Sharing and processors
We do not sell your personal data. We share it only with service providers (“processors”) acting on our instructions. These include Vercel for website hosting and, if you consent, website analytics, and Resend for delivery of contact-form messages. We require appropriate contractual safeguards from processors. We may also disclose data where required by law or to protect our rights.
5. International transfers
Some providers may process data outside the UK or EEA. Where this happens, we use an adequacy decision or appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s Standard Contractual Clauses. 6. Data retention
We keep personal data only as long as needed for the purposes above. For enquiries, we consider the nature of the request, our ongoing relationship with you, legal obligations, and the need to establish, exercise, or defend legal claims; we delete or anonymize it when those needs no longer apply. Cookie-consent records are kept for up to 180 days. Pilot data is retained and deleted as set out in the applicable pilot or data-processing agreement.
7. Your rights
Subject to applicable law, you have the right to access, rectify, erase, or port your personal data; to restrict or object to processing; and to withdraw consent at any time (without affecting prior processing). To exercise any of these, email hello@tallybook.io. You have the right to object at any time to processing based on legitimate interests, including direct marketing. If you are in the EEA or UK, you may lodge a complaint with your local supervisory authority; in the UK, this is the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint.
8. Security
We use technical and organizational measures designed to protect personal data and appropriate to the risk, including access controls, encryption where appropriate, and separation of customer environments. No method of transmission or storage is perfectly secure, and this notice does not create a guarantee of absolute security.
9. Children
TallyBook is a business product and is not directed to children. We do not knowingly collect personal data from anyone under 16.
10. Automated decisions
We do not make decisions based solely on automated processing that have legal or similarly significant effects on individuals.
11. Changes to this policy
We may update this policy from time to time. We will revise the “Last updated” date above and, where changes are material, provide a more prominent notice.
