1. Who we are
TallyBook (“TallyBook”, “we”, “us”) provides source-backed AI software for drilling operations. For the purposes of the GDPR, TallyBook is the data controller for the personal data described in this policy. You can reach us about privacy at privacy@tallybook.io.
2. Information we collect
Information you give us
- Contact & early-access requests: your name, company, email address, and the contents of any message you send us.
- Operational data during a pilot: if you connect TallyBook to your reports, WITSML feeds, or offset databases, that content is processed to provide the service. Where it contains personal data, we process it as described in our agreement with you.
Information collected automatically
- Usage & device data: pages viewed, approximate location (from IP), browser and device type, and similar diagnostics.

3. How we use your information & legal bases
We use personal data to:
- respond to your enquiries and run early-access pilots — performance of a contract or steps taken at your request;
- operate, secure, and improve the site and product — legitimate interests in running and improving our business, balanced against your rights;
- set analytics and marketing cookies and send updates you ask for — consent, which you can withdraw at any time;
- comply with legal obligations — legal obligation.
4. Sharing and processors
We do not sell your personal data. We share it only with service providers (“processors”) acting on our instructions — for example, cloud hosting, email delivery, and product analytics. Each is bound by a data-processing agreement. We may also disclose data where required by law or to protect our rights.
5. International transfers
Some providers may process data outside your country, including outside the EEA/UK. Where we transfer personal data internationally, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (and the UK Addendum where applicable).
6. Data retention
We keep personal data only as long as needed for the purposes above: enquiry and pilot records for the duration of our relationship and a reasonable period afterward, and consent records for as long as required to evidence your choice. We then delete or anonymize it.
7. Your rights
Subject to applicable law, you have the right to access, rectify, erase, or port your personal data; to restrict or object to processing; and to withdraw consent at any time (without affecting prior processing). To exercise any of these, email privacy@tallybook.io. If you are in the EEA or UK, you also have the right to lodge a complaint with your local data-protection supervisory authority.
8. Security
We use technical and organizational measures appropriate to the risk — including encryption in transit and at rest, access controls, and tenant isolation — to protect personal data. No method of transmission or storage is perfectly secure, but we work to protect your information and review our controls regularly.
9. Children
TallyBook is a business product and is not directed to children. We do not knowingly collect personal data from anyone under 16.
10. Changes to this policy
We may update this policy from time to time. We will revise the “Last updated” date above and, where changes are material, provide a more prominent notice.
